For Endowments
Allocator Desk for Endowments
The system of record for endowment investment offices.
Endowment teams run small, hold positions for decades, and rely heavily on institutional memory that is rarely written down. Allocator Desk captures the diligence trail, the relationship signals, and the IC reasoning so the next analyst inherits real context, not a folder of PDFs.
The workflow today
A typical endowment investment office runs lean - a CIO, two or three directors, and a handful of analysts covering the full portfolio across private equity, venture, real assets, hedge funds, and credit. Coverage is structured by asset class, but in practice the team trades context constantly because every manager touches the spending policy and the long-duration return target.
Annual and quarterly IC meetings drive the formal calendar, but the real work happens in the months between - manager calls, quarterly letters, capital calls, side letter renewals, conference touchpoints, and the constant judgment of whether a re-up is still the right call. Most of this lives in inboxes, shared drives, and one analyst's head.
When an analyst leaves or a CIO retires, that knowledge walks out the door. The next IC discussion starts at a worse place than it should.
For smaller offices, the challenge is bandwidth. For larger offices, it is coordination. In both cases, the risk is the same: context does not reliably survive across people, meetings, and vintages. A GP call, a conference note, a reference comment, or a side letter term may seem small in the moment. Two years later, when the next fund is back in market, that missing context can change the quality of the re-up discussion.
What gets lost today
Verbal commitments and soft signals
GP calls where they hint at next-fund sizing, key person changes, or strategy drift - rarely captured anywhere searchable.
Re-up reasoning across vintages
Why the team committed to Fund V at $30M and Fund VI at $15M is institutional knowledge that should be reviewable when Fund VII fundraises.
Side letter terms across the portfolio
MFN elections, fee breaks, co-invest rights, ESG carve-outs - scattered across legal folders, almost never consolidated.
Conference and reference call notes
Five analysts attended SuperReturn, ILPA Summit, and the Endowment & Foundation Forum - the notes mostly never make it back into the manager file.
Risks that show up in diligence and governance
Spending policy and liquidity context gets separated from diligence
Illiquid commitments are often discussed separately from liquidity, pacing, and spending support. The reasoning behind sizing decisions should stay attached to the manager record.
IPS and governance drift
The IPS may be reviewed periodically, but the reasoning behind day-to-day allocation and manager decisions is often scattered across notes, memos, and meeting materials.
Concentration in familiar re-up relationships
Endowments often build around a trusted set of long-term GP relationships. Without a portfolio-level view of manager exposure and re-up history, concentration can build quietly.
Generational handoff risk
When a long-tenured CIO, director, or analyst leaves, the institution can lose years of context on active GP relationships unless that history has been captured as part of the record.
How Allocator Desk becomes the system of record
Coverage & Signals
Every analyst logs every meaningful touchpoint - GP calls, conference conversations, peer references - against the manager record, shared team-wide by default.
Obligations Registry
AI extracts MFN elections, side letter terms, reporting commitments, and key person clauses from your legal docs; a human confirms before they become part of the record.
Pre-IC Synthesis
Generates a delta report since the last IC discussion - what has changed in performance, signals, obligations, and personnel - so re-up debates start from a real baseline.
Decision Journal
Captures the rationale, dissenting views, and signal snapshot at the moment of each commitment - reviewable for the next vintage.
Audit Package
Read-only, expiring bundle of documents and decisions for your external auditor or investment consultant.
Example fields and workflows tracked
- Spending policy impact on commitment sizing
- IC vote history and dissenting opinions
- GP overlap across funds (e.g. KKR shared between PE and credit sleeves)
- Side letter terms: MFN, key person, fee breaks, co-invest rights
- Re-up disposition history (committed / passed / down-sized) with rationale
- Conference and peer reference call log per manager
- Long-tenured staff coverage handoff notes
Common questions
We're too small to need a platform - we use Excel and a shared drive.
Small teams have the most to lose from staff turnover and the least bandwidth to reconstruct context. Allocator Desk replaces the shared drive's silence with a searchable, AI-queryable record.
Our consultant already tracks everything.
Your consultant tracks what their workflow needs. Allocator Desk is your system of record - the one that stays with the office across consultant changes.
